Appointments and packages

The appointments calendar shows each staff member's day, so reception can see who is free and book a customer into the right slot. When the service is done, the appointment becomes the bill. There is no re-keying and no chance of forgetting an add-on.

Packages are how many salons and clinics keep regulars coming back. Sell a course of sessions, and each visit is deducted from the customer's package on the bill. Staff and customers both see how many sessions remain, which ends arguments over paper cards.

Deposits and invoices

For larger jobs or bridal packages, take a deposit up front and settle the balance later. Businesses that bill after the work is done can issue invoices from the same system.

Stored value and e-wallet credits

Stored value lets customers top up credit and spend it over later visits. It brings cash in early, and customers who have credit with you are more likely to return than to try the salon down the road.

Each customer's e-wallet balance sits on their profile, linked to their phone number. They can top up by PayNow, NETS or card and use the balance on services and products alike. Every top-up and deduction is recorded, so balances can be checked at any time.

Vouchers and birthday rewards work alongside stored value, giving you a few simple ways to reward regulars without deep discounting.

Staff commissions without the month-end debate

Stylists and therapists usually earn commission on services and on products they sell. Worked out by hand, it is slow and easy to get wrong.

Set commission rules for services and products once. Every sale is tagged to the staff member who did the work, and commission is calculated as you go. At month end, the figures are ready for payroll and each person can see how their total was reached.

Staff permissions control who can give discounts, adjust package balances or issue refunds, which protects both your margins and your team.

Customer records and WhatsApp marketing, with consent

Service businesses depend on knowing their customers. Customer profiles keep visit history, packages, stored value and notes, such as a colour formula or a preferred therapist, so any staff member can pick up where the last one left off.

Under Singapore's PDPA, you need consent before sending marketing messages. Record each customer's marketing consent on their profile when they sign up, and send WhatsApp promotions only to those who have agreed. Keep records to what you need to serve the customer, and control which staff can view them.

With consent in place, WhatsApp is a practical way to fill quiet weekday slots or remind customers who have not visited in a while.

Checkout and reconciliation at reception

At the end of a treatment, reception closes the appointment, deducts any package session, adds retail products and takes payment in one bill. A customer can split payment between stored value and PayNow, or between card and NETS.

Payments reconcile automatically against sales, so the closing report shows what you should receive by each method. Sales flow to Xero, and reports break down revenue by service, product and staff member.

Costs and grant support for service businesses

Most salons and clinics need one or two terminals at reception, a receipt printer and a barcode scanner if they sell retail products.
